Four ways to get documents to Ella
Every integration works the same way — documents arrive, Ella reads them, issues get flagged. Pick the path that fits your workflow.
Gmail
Connect your project inbox. Ella monitors emails and parses every attachment automatically.
Outlook
Same seamless monitoring for Microsoft 365 inboxes. Documents flow in without lifting a finger.
Email Forwarding
Get a unique Kiron email address for your company. Forward or CC any document — quotes from the job site, invoices from personal email, anything. Ella reads it instantly.
Document Upload
Drag and drop any file — PDFs, scans, spreadsheets, photos. Ella reads them all.
From inbox to verified — in three steps
No configuration, no field mapping, no data entry. Documents are processed the moment they arrive.
Documents arrive
Link your Gmail or Outlook, forward to your unique Kiron address, or drag-and-drop files directly. Every path leads to the same pipeline.
Ella reads and classifies
Each document is classified by type, structured data is extracted — line items, totals, dates, vendors, clauses — and the cost picture is updated automatically.
Issues surface instantly
Mismatches, overbilling, missing change orders, and duplicates are flagged with evidence before anything reaches your approval queue.
Four ways to get your project docs to Ella — explained
Each path is read-only and scoped to your authorization. Pick the one that fits your team — they all feed the same AI verification pipeline.
Gmail
For builders running on Google Workspace, Kiron connects directly to your project inbox.
Authorize once and Ella starts monitoring incoming project email — quotes, invoices, change orders, draws, inspection results, vendor correspondence. She reads attachments and inline messages alike, classifying each document by type and confidence. You don't change how your team works. You don't move your records anywhere. The Gmail inbox stays the system of record; Ella adds an AI verification layer on top of it.
Outlook & Microsoft 365
Builders on Microsoft 365 get the same automatic monitoring through Microsoft Graph.
Connect Outlook the same way you connect any modern Microsoft app. Ella reads every project email and attachment — PDF, Excel, scanned image, photo — and classifies them on arrival. Documents that need attention surface in your review queue with the source email attached as evidence.
Email forwarding
Every Kiron account gets a unique forwarding address — the simplest path to AI verification.
You receive a dedicated forwarding address (e.g. your-company@in.getkiron.com). Forward or CC any quote, invoice, or change order to that address — from any inbox, any phone, any team member — and Ella reads it within seconds. Set a rule in Gmail or Outlook so mail from your subs and vendors forwards itself, and the path stays automatic without Kiron ever touching the rest of your mailbox. Ideal for builders who don't want to grant inbox access or whose project documents arrive across multiple email accounts.
Document upload
Drag-and-drop or browser upload for everything that doesn't come through email.
Site photos taken on a phone, signed paper contracts scanned to PDF, spreadsheet schedules of values from your accounting team, an invoice handed to you at a meeting — drop them into the Kiron web app and Ella reads them just like email documents. Every upload generates a full audit trail: who uploaded it, when, from what device.
Any document, any format
PDFs, scanned images, spreadsheets, photos, specs — Ella reads them all. She classifies each document, extracts structured data, and resolves vendor identities automatically. No templates, no field mapping.
15+ document types recognized and processed.
Integration questions, answered
Do I need to migrate any data to use Kiron?
No. Kiron reads documents from your existing email inbox or accepts uploads from your team. There is no migration, no field mapping, and no per-project setup. The data stays where it lives today — Kiron adds a verification layer on top.
Can Kiron see my personal email?
No. If you connect Gmail or Outlook, every new thread is checked against your jobs before anything is kept — the address (2100 Marsh Rd), the subs and vendors on it, the documents attached to it. Mail that isn't about your construction work is dropped on arrival — never indexed, never surfaced in a brief, never used to answer a question. Kiron records only the decision to skip it. The scope is read-only and you can revoke it from your own Google or Microsoft console at any time. And if you'd rather not connect a mailbox at all, don't — forward or CC only the threads you choose to your Kiron address, or set a rule so mail from your subs forwards itself. That forwarded mail is then the only mail Kiron ever sees.
What about security and data privacy?
All documents are encrypted in transit (TLS 1.3) and at rest. Each customer's data is isolated and never used to train models for any other customer. Connections to Gmail and Outlook use OAuth 2.0 with read-only scopes you authorize. Pulling access can be revoked at any time from your Google or Microsoft admin console.
Can multiple team members use the same Kiron account?
Yes. Unlimited users are included on every plan — no per-seat fees. PMs, accountants, owners, and subcontractor coordinators can all be added to the same workspace with appropriate roles and permissions.
Does Kiron integrate with QuickBooks or Procore?
Direct integrations with QuickBooks, Procore, Buildertrend, and other PM tools are on the roadmap and shipping in stages. Today, Kiron reads from the email layer that all those tools route documents through, so coverage is already complete — the direct integrations will make data flow back the other way more seamless.
Can Ella read scanned and handwritten documents?
Ella reads PDFs, scanned images, photos taken on a phone, and digital documents alike. Handwritten content is read where legible — typed-in or printed documents are processed with near-perfect accuracy.
