Kiron Intelligence Inc. ("Kiron," "we," "us") respects your privacy. This policy explains what information we collect, how we use it, and your choices.
Information we collect
We collect information you provide directly — such as your name, email, company, and project details when you sign up, fill out a form, or book a call. When you use Kiron, we also process the documents and emails you connect, upload, or forward to us (quotes, invoices, change orders, lien waivers, certificates of insurance, and related communications). If you use the Kiron iPhone app, we also collect the audio recordings, typed notes, and photos you capture, along with the location of the device at the moment of capture. We collect standard analytics data (page views, device type, referral source) and crash and performance diagnostics to improve the product.
How we use your information
We use your information to provide and operate Kiron, respond to inquiries, process payments, communicate about your account, and improve the product. We do not sell your personal information.
AI and your data
Kiron's AI agent, Ella, processes your documents using third-party AI providers (Google, Anthropic, OpenAI). This includes audio: a recording you capture in the mobile app is sent to one of those providers to be transcribed and summarized into follow-ups. Transcription happens on our servers, not on your phone. Your data is not used to train any AI models, by us or by our providers. We may use aggregated, de-identified metrics (like extraction accuracy or processing times) to improve Kiron.
Project documents
Documents you submit to Kiron are scoped to your organization. They are not shared with other customers and are not used for any purpose beyond delivering the service to you.
Kiron mobile app
The Kiron iPhone app asks for three permissions, each only for the feature it powers. You can decline any of them and still use the rest of the app, and you can change your mind anytime in iOS Settings.
- Microphone. When you start a voice note, the app records audio until you stop it — including while your phone is locked or in your pocket, so a walkthrough isn't cut short. Recording only ever starts when you tap record; the app does not listen in the background. The recording is uploaded to our servers, transcribed, and kept in your project's documents alongside its transcript, so you can play it back or delete it. A recording may capture the voices of other people on site; it's your responsibility to record them lawfully and with their knowledge.
- Location. While you're capturing, the app uses your precise location to guess which of your projects you're standing on. Those coordinates are sent with the note or photo so the server can match it to the right project. We don't track your location in the background or build a location history. If you decline, you pick the project from a list instead.
- Camera and photo library. Photos you take or choose are uploaded to the project you select. When location is available, GPS coordinates are embedded in the photo file. We access only the photos you pick — never your full library.
The app does not track you across other apps or websites and does not share anything with data brokers or advertisers.
Gmail and Outlook integrations
If you connect Gmail or Outlook, our use of data received from those APIs complies with the Google API Services User Data Policy, including the Limited Use requirements, and the equivalent Microsoft policies. We use this data only to provide Kiron's features to you, never to train AI models or serve ads. You can revoke access anytime through your Google or Microsoft account settings.
Sub-processors
We use trusted vendors to run Kiron, including cloud hosting (Fly.io), databases (Neon), storage (Cloudflare R2), authentication (WorkOS), email (Resend), payments (Stripe), error and performance monitoring (Sentry), and AI providers (Google, Anthropic, OpenAI). All sub-processors are bound by contracts requiring them to protect your data.
Retention and deletion
We keep your data while your account is active. Audio recordings and photos are retained like any other project document — you can delete an individual recording, its transcript, or a photo at any time from your Kiron account, which removes it from your workspace and from everything Ella reads. To have the underlying file permanently erased from our storage, email us and we'll do it. After your account closes, we delete your data within 90 days, except where law requires us to retain it longer. You can export or request deletion of your data anytime by emailing privacy@getkiron.com.
Your rights
Depending on where you live, you may have rights to access, correct, delete, or port your personal information. California residents have rights under the CCPA/CPRA — Kiron does not sell or share personal information as defined under California law. To exercise any rights, email privacy@getkiron.com.
Security
We protect data with encryption in transit and at rest, per-organization isolation, and least-privilege access controls. If a security incident affects your data, we'll notify you as required by law.
Children
Kiron is a B2B product and not intended for anyone under 18.
Changes
We'll post updates here and notify account administrators of material changes at least 30 days before they take effect.
